TERMS AND CONDITIONS
Welcome to Harper & Co. Aesthetics. By booking an appointment, attending a consultation, undergoing treatment, making a payment, or providing payment details, you agree to the following Terms and Conditions. These terms are designed to ensure transparency, fairness, patient safety, and the highest standard of clinical care.
1.CLINIC INFORMATION
Harper & Co. Aesthetics is located within The Salon, 56 Southampton Road, Ringwood, Hampshire, BH24 1JD.
There is ample parking available nearby within The Furlong Shopping Centre.

2.PATIENT INFORMATION AND PRIVACY
• All patients are required to provide accurate contact information including their full name, address, date of birth, telephone number and email address.
• New patients will be required to complete a medical history form and pre-consultation questionnaire before attending their appointment. This information is essential for consultation, prescribing and treatment planning.
• All personal information is handled confidentially and processed in accordance with UK GDPR, the Data Protection Act 2018 and professional clinical obligations.
• Patients may opt out of marketing communications at any time.
• Where payment is made by card, payment details may be securely stored by our authorised payment provider, Stripe, using encrypted tokenisation technology. Harper & Co. Aesthetics does not store or have access to full payment card details.
3.CONSULTATIONS AND TREATMENT ELIGIBILITY
• All new patients must attend a face-to-face consultation and assessment before treatment can be provided.
• Treatment may not be provided on the initial consultation appointment unless deemed clinically appropriate by the practitioner.
• Patients must provide complete and accurate medical information to enable safe treatment decisions.
• Patients should not attend appointments if they are unwell, have active cold sores, skin infections, or any condition that may make treatment unsuitable.
• Individuals under the age of 18 are not eligible for injectable treatments.
4.APPOINTMENTS AND DEPOSITS
Due to high demand for appointments and treatments, Harper & Co. Aesthetics operates a formal deposit policy.
• All appointments require a deposit to secure the booking.
• Deposits are redeemable against treatment costs.
• Consultation deposits may be redeemed against treatment undertaken within three months of the consultation date.
• Deposits are non-transferable and non-refundable except where required by law or at the sole discretion of Harper & Co. Aesthetics.
5.CANCELLATION AND RESCHEDULING POLICY
• A minimum of 72 hours' notice is required to cancel or reschedule an appointment.
• Notice must be received during business hours.
• Appointments cancelled or rescheduled with less than 72 hours' notice will result in forfeiture of the deposit paid.
• Failure to attend an appointment without notice ("no-show") will result in forfeiture of the deposit paid.
• If the same appointment is rearranged more than twice, a new £50 deposit will be required before a further appointment can be secured.
• Harper & Co. Aesthetics reserves the right to require full pre-payment for future appointments following repeated late cancellations, no-shows, excessive rescheduling, or unpaid fees.
CARD PAYMENT AUTHORISATION
• By booking an appointment and providing payment details, you authorise Harper & Co. Aesthetics and its payment provider, Stripe, to securely store a tokenised version of your payment method.
• You authorise Harper & Co. Aesthetics to process charges in accordance with these Terms and Conditions, including late cancellation fees, no-show fees and outstanding balances.
• Where the appointment value exceeds any deposit held, or where no deposit has been taken, Harper & Co. Aesthetics reserves the right to charge the payment method stored on file for applicable fees due under this policy.
• If a payment is declined, disputed or reversed, Harper & Co. Aesthetics reserves the right to recover any outstanding balance and may refuse future bookings until the balance has been settled.
6.HOW TO CANCEL OR REBOOK AN APPOINTMENT
Appointments may be cancelled or rearranged:
• Through the cancellation/reschedule link contained within your appointment confirmation email.
• By telephone on 07780 498412 or 07850 563272.
• By email to harperandcoclinic@gmail.com.
7.PAYMENTS
• Payment for treatments must be made in full at the time of treatment unless otherwise agreed in writing.
• We accept cash, major debit cards and major credit cards.
• Card payments are processed securely through Stripe.
• Harper & Co. Aesthetics does not store or have access to full payment card details.
• No information identifying the specific treatment received is passed to Stripe as part of the payment transaction.
8.TREATMENT REVIEWS AND AFTERCARE
• Reviews for botulinum toxin treatments are available within 2–3 weeks of treatment.
• Any adjustments or additional treatment required outside of the review period may be chargeable.
• Patients must follow all aftercare advice provided.
9.PACKAGES, SPECIAL OFFERS AND GIFT VOUCHERS
Packages and Special Offers
• Treatment packages must be paid for in full before commencing treatment.
• Missed appointments or cancellations with less than 72 hours' notice may result in forfeiture of the affected treatment session.
• Promotional offers cannot be used in conjunction with any other offer unless expressly stated.
Gift Vouchers
• Gift vouchers are valid for 12 months from the date of purchase.
• Gift vouchers may be used as full or partial payment towards treatments.
• Gift vouchers cannot be exchanged for cash.
• No change will be given.
• Gift vouchers cannot be used to purchase additional gift vouchers.
• Gift vouchers are non-refundable.
• Harper & Co. Aesthetics is not responsible for lost, stolen or damaged gift vouchers.
• Harper & Co. Aesthetics reserves the right to refuse any voucher suspected of fraud, tampering or misuse.
10.REFUND POLICY
• Fees charged cover consultation, assessment, clinical advice, treatment provision, products used, professional expertise and follow-up care.
• All aesthetic and medical treatments carry inherent variability and individual results cannot be guaranteed.
• Dissatisfaction with an aesthetic outcome alone does not constitute grounds for a refund.
• Treatments, services and packages are non-transferable.
• Refunds will only be provided where required by law, where treatment has not been provided, or where Harper & Co. Aesthetics determines that a refund is appropriate in the circumstances.
11.COMMUNICATION POLICY
• We aim to respond to calls, emails and messages during normal business hours (Monday–Friday, 9.00am–5.00pm).
• Messages received outside these hours will be responded to as soon as reasonably possible.
• Harper & Co. Aesthetics does not provide an emergency medical service.
• If you require urgent medical assistance, contact NHS 111, your GP, or attend your nearest Urgent Treatment Centre or Accident & Emergency Department.
12.CHILDREN POLICY
• Children are not permitted within treatment rooms.
• Children should only attend the clinic if old enough to remain unsupervised within the waiting area.
13.FEEDBACK AND COMPLAINTS
• We welcome patient feedback and continually strive to improve our service.
• Feedback may be provided verbally, by email, or through our website.
• If you have a complaint regarding your treatment or experience, please contact us as soon as possible so that we can investigate and attempt to resolve the matter promptly.
• A copy of our Complaints Policy is available upon request.
14.ZERO TOLERANCE POLICY
Harper & Co. Aesthetics operates a strict zero-tolerance policy towards abusive, threatening, intimidating or aggressive behaviour.
This includes:
• Verbal abuse or offensive language.
• Harassment, including online harassment.
• Threatening behaviour.
• Physical intimidation or assault.
• Disrespectful or hostile conduct towards staff or patients.
Appointments may be terminated immediately and future treatment refused where such behaviour occurs.
15.RIGHT TO REFUSE OR TERMINATE TREATMENT
Harper & Co. Aesthetics reserves the right to refuse, postpone or discontinue treatment where:
• Treatment is not clinically appropriate.
• The treatment is not considered to be in the patient's best interests.
• Patient expectations cannot reasonably be met.
• A safe or satisfactory outcome is unlikely to be achieved.
• The patient fails to disclose relevant medical information.
• The patient breaches these Terms and Conditions.
16.ACCEPTANCE OF TERMS
By booking an appointment, attending a consultation, undergoing treatment, making a payment, or providing payment details, you confirm that you have read, understood and agree to these Terms and Conditions, together with the Privacy Policy and Complaints Policy.
