Terms of Use

Welcome to Harper & Co. Aesthetics. By engaging with our services, you agree to adhere to the following terms and conditions, which are designed to ensure transparency, fairness, and the highest standard of care. Please read these carefully.

 

The Location 

 

Harper & Co. Aesthetics is located within The Salon, 56 Southampton Road, Ringwood, Hampshire, BH24 1JD

There is ample parking in close proximity to the clinic within the Furlong shopping centre.

Information and Privacy

 

  • All patients are required to provide the following contact details to secure an appointment: Full Name, Address, Date of Birth, Email, and Phone Number.

  • Upon booking, new patients will receive a medical history form and a pre consultation questionnaire, which must be completed prior to their appointment. This is essential for consultation and treatment planning.

  • All personal information is handled confidentially in accordance with applicable Data Protection legislation and will not be shared with third parties without prior written consent.

  • Patients may opt out of mailing lists or promotional communications by unsubscribing at any time.

 

Appointments and Deposits

 

We are always as accommodating as possible to assist our patients, however, due to high demand for appointments and the treatments we offer, we have a formal Deposit and Cancellation Policy. We respect that your time is valuable, and we appreciate that you understand ours is too.

 

  • All bookings require a non-transferable deposit to secure the appointment and cannot be refunded under any circumstances.

  • Deposits are redeemable against treatments.

  • Deposits for a consultation are redeemable against treatments within three months of the consultation appointment.

 

Cancellation and Rescheduling Policy

 

  • A minimum of 72 hours’ notice is required to cancel or reschedule an appointment. Notice must be received during business hours. 

  • Cancellations or reschedules made with less than 72 hours’ notice, including failure to attend (“no-show”), will result in the full deposit being retained.

  • Where card details are held securely on file, you authorise Harper & Co. Aesthetics to charge your card for any applicable late cancellation or no-show fee where the  deposit does not fully cover the appointment value.

  • If you rearrange the same appointment more than twice, a new deposit fee of £50 will be charged before a further appointment can be secured.

  • The clinic reserves the right to require full pre-payment for future appointments following repeated late cancellations, no-shows, or excessive rescheduling.

  • By booking an appointment, you confirm that you have read and agreed to this cancellation policy.

 

How to notify the clinic about cancelling or rebooking an appointment:

  • Appointments can be cancelled or rearranged via the reschedule/cancellation button included in your confirmation email, allowing you to manage your booking at your convenience.

  • Alternatively, you may contact the clinic directly via The Salon on 07780498412 or Harper & Co. Aesthetics on 07850563272.

  • Or email us at harperandcoclinic@gmail.com with your name, contact number and details of your appointment.

Packages and Special Offers:

 

  • Packages must be paid in full before commencing the first treatment.

  • Missed sessions or cancellations with less than 72 hours’ notice will result in forfeiture of that session.

  • Special offers are subject to these Terms and Conditions and cannot be combined with other offers unless explicitly stated.

 

  • Gift vouchers may be exchanged for services the price of which being equal to or lower than the balance or value of the gift voucher. Gift vouchers can be used as a complete or partial payment. If a purchase exceeds the redeemer's gift voucher balance or value, the remaining amount must be paid with another method of payment. 

  • Gift vouchers are valid for one year from the day of purchase. They cannot be resold, transferred for value or exchanged for cash. No cash change will be given on purchases made using gift vouchers. Gift vouchers cannot be used to purchase other gift vouchers. 

  • Gift vouchers cannot be returned or refunded.

  • Harper & Co. Aesthetics shall not be liable or responsible for lost, stolen, destroyed or damaged gift vouchers, or if a gift voucher is used without your permission. Harper & Co. Aesthetics is unable to replace a gift voucher if it is lost or stolen.

  • Harper & Co. Aesthetics reserves the right to refuse to accept any gift voucher (and to take alternative forms of payment) which it deems to have been tampered with, defaced, modified, duplicated, damaged, or which otherwise is suspected to be affected from fraud.

  • By purchasing, using or accepting gift vouchers you confirm your acknowledgement and acceptance of these terms and conditions. Harper & Co. Aesthetics reserves the right to amend these terms and conditions from time to time, without notice and to take appropriate action, including the cancellation of a gift voucher, if, in its discretion, it deems such action necessary. 

  • There are no limitations on how many times a gift voucher can be used (until the balance is £0.00). If you do not spend the entire balance on a gift voucher, the remaining balance will be updated after each transaction. 

 

Treatment Guidelines:

 

  • It is mandatory for all new patients to have a face to face consultation and assessment prior to commencing any treatment. Treatments are generally not provided on the first visit, except when deemed appropriate by both the practitioner and patient.

  • Reviews for botulinum toxin treatments are available within 2–3 weeks of treatment. Adjustments or additional treatments beyond this timeframe will be subject to additional payment.

  • Patients should not attend the clinic if they are unwell, including symptoms such as colds, cold sores, or skin infections. Treatments may be contraindicated when unwell.

Payments​:

 

  • Payments for treatments must be made in full at the time of the procedure.

  • The clinic accepts cash, major debit, and credit cards.

  • All treatments and packages are non-transferable and cannot be refunded under any circumstances.

  • We use Monzo to process all our card purchases. No data identifying the treatment is passed to Monzo. Payments are identified within the account statement by date, time, amount, type of card used and the last 4 digits of the card number.

 

Children Policy:

 

  • Individuals under 18 are not eligible for injectable treatments. 

  • Children are not permitted in treatment rooms and should not attend the clinic unless old enough to remain unsupervised in the waiting area.

Communication Policy:

 

  • We respond to messages, emails, and calls during core business hours: Monday to Friday, 9:00 AM – 5:00 PM.

  • Messages received outside these hours will be responded to as soon as possible. If you believe you are experiencing a medical emergency, seek immediate medical attention or contact NHS 111.

  • For emergencies, please contact us via phone on 07850563272 or email and include “EMERGENCY” in the subject line.

Feedback and Complaints:

 

  • Feedback is welcomed and can be provided verbally, via email or through our website.

  • If you have a complaint, notify us immediately so that we can arrange a follow-up appointment to address your concerns. A copy of our Complaints Policy is available upon request.

 

​Refund Policy:

 

  • Fees charged cover the entire treatment process, including consultation, advice, safe procedures using evidence-based products, and follow-up care.

  • All treatments are medical and aesthetic procedures and results vary from person to person. While we strive to achieve optimal outcomes, specific results cannot be guaranteed. Dissatisfaction with aesthetic outcome does not constitute grounds for a refund.​​

 

Zero Tolerance for Aggressive Behaviour:

 

  • Harper & Co. Aesthetics operates a strict zero-tolerance policy towards abusive, aggressive, or threatening behaviour towards staff or patients.

  • Anyone seen to be abusive or violent will be asked to leave the premises and will not be welcome to return. This includes:

  • Verbal abuse, shouting, or offensive language.

  • Physical intimidation or assault.

  • Harassment, including online abuse.

  • Disrespectful or hostile conduct.

  • If such behaviour occurs, we reserve the right to terminate appointments immediately and may take further action, including banning patients from the clinic.

Right to Refuse or Terminate Treatment:

 

  • We provide high-quality, evidence-based treatments tailored to individual needs.

  • We reserve the right to decline treatment if we determine that:

    • Your expectations cannot be met.

    • The treatment is not in your best interest.

    • A safe or satisfactory result cannot be achieved.

  • If aggressive behaviour occurs or expectations cannot be aligned, appointments may be cancelled at our discretion, with no obligation to provide further services.
